Expense management was always possible in BeatRoute through Custom Workflows. With this release we are introducing a dedicated Expense Management template — a purpose-built experience for admins, managers, and frontline teams, backed by expense-specific AI. A single workflow now covers structured submission, policy validation, automatic travel reimbursement, fraud detection, and payment visibility.
What’s new in the Expense Management workflow
1. Expense types & designation-level policy limits
Claim limits can be configured for each expense type at the designation level, so a Sales Officer and a Regional Manager can carry different entitlements for the same category. Limits are enforced at submission, removing the back-and-forth of manual policy checks.
2. Automatic travel reimbursement
For local travel claims based on actual distance travelled, reimbursements are generated automatically using the distance BeatRoute already tracks. There is no separate logging step — the trip data captured during the day becomes the claim.
3. AI-based fraud detection
Where enabled, the system flags suspicious submissions before they reach finance — location mismatches between the bill city and the user’s captured activity city, duplicate bills across users, and policy-limit violations — and surfaces them to approvers to act on.
4. Approval & payment tracking
Individual bills can be fully approved, partially approved, or rejected through a configurable approval workflow. With Payment Tracking enabled, every entry carries a Pending or Paid status, so reps always know when a reimbursement has been processed.
