Field Sales Management Software
Field sales management software plans where each rep goes, records what happens at every outlet, and shows managers how each territory is doing while there is still time to act. BeatRoute adds one more layer: it turns each territory's goal into the next action for every rep.

What is field sales management software?
Field sales management is how a company plans, runs and measures the work of reps who sell in person at shops, pharmacies, dealers and distributors. Field sales management software is the system that runs it: a mobile app for reps and a web dashboard for managers.
Reps use the app to see the day's outlets, check in at each one, take orders, record payments and capture shelf photos, even with no signal. Managers use the dashboard to set beats and targets, see which outlets were really visited, and follow the numbers that decide whether a territory grows.
It suits brands that sell through distributors and retailers with reps on the road every day, such as FMCG, pharma and consumer durables companies. If your sellers mostly work leads from a desk, a CRM is the better fit. Our guide to SFA vs CRM explains the difference.
What field sales management software does
These are the features every field team needs, whichever tool it picks:
- Beat and route planning: assign outlets to each rep by day and visit frequency, then plan the shortest route between them. See beat planning.
- Attendance and visit tracking: GPS check-in at every outlet, so managers see real visits instead of reported ones. See sales force tracking.
- Order taking: reps order from the catalogue with prices, schemes and the outlet's history in front of them, and the order goes straight to the distributor.
- Collections: reps see what an outlet owes before they walk in and record payments against invoices.
- Retail execution: shelf photos, stock counts, display checks and short surveys during the visit. See retail audit software.
- Offline mode: everything works without a signal and syncs when the rep reconnects.
- KPI scorecards and reports: live numbers by rep, territory and distributor, with no month-end spreadsheet.
- Integrations: sync with your ERP and distributor management system so orders, stock and prices match everywhere.
The KPIs field sales managers track
These numbers show whether a field team is working well. Good software works them out from what reps record, so nobody builds them by hand.
| KPI | What it measures | What a weak number tells you |
|---|---|---|
| Visit compliance | Planned visits that actually happened | The beat is too long for one day, or the rep is skipping outlets |
| Productive calls and strike rate | Visits that ended in an order, as a count and as a share of all visits | The beat visits outlets that don't need stock that day, or the rep lacks the right offer |
| Lines per call | How many different products each order contains | The rep sells only the best sellers; check the suggested order for each outlet |
| Average order value | The value of a typical order at an outlet | Outlets are buying little and often, or the range they stock is too narrow |
| Active outlets | Outlets that ordered at least once in the period | Coverage is quietly shrinking, even if total sales look fine |
| New outlets | Outlets that placed a first order in the period | Reps have no time or no reason to prospect |
| Collections and overdues | Cash collected against what is due | Credit is being used to push orders that outlets can't pay for |
| Time in market | Hours at outlets compared with travel and admin | Routes are poor, or reps spend too long on paperwork |
How a field sales day runs on the software
The same loop repeats every day, and each step feeds the next one:
- Plan: the manager sets the week's beat and targets, and each rep's app shows today's outlets in route order.
- Visit: the rep checks in at the outlet and sees its order history, what it owes and the schemes it qualifies for.
- Sell and check: the rep takes the order, records any payment and captures shelf photos or stock counts.
- Sync: the order reaches the distributor, and the day's data syncs as soon as there is signal.
- Review: by evening the manager sees visits, orders and KPIs by rep. If a rep's visits are on plan but orders are low, fix the plan first, then coach the person.
How to manage a field sales team well
Software records the work. These habits decide whether the numbers improve:
- Design beats around outlet value: visit high-value outlets more often than small ones, and give each rep a beat they can finish in a normal day. A beat nobody can complete teaches reps to skip outlets.
- Coach from one number at a time: pick the weakest KPI for each rep, agree one change for the week, and check it the following week. Ten numbers at once changes nothing.
- Ride along, then compare: spend a day in the market with a rep, then compare what you saw with what the app recorded. The gaps show where the process breaks.
- Pay on the right mix: reward sales value together with lines per call or active outlets. Paying on value alone pushes reps to load a few big outlets.
- Keep the distributor in the loop: a rep can only sell what the distributor has in stock, so review stock and fill rates with the distributor as often as you review reps.
Common field sales problems and how the software fixes them
Visits are reported, not proven
GPS check-in and photos show which outlets were really visited and what the rep saw there.
Orders get lost between rep and distributor
Orders go straight from the rep's app to the distributor, with stock and price checks on the way.
Managers find out about a bad month at month end
Daily KPIs by rep and territory show who is behind while there is still time to fix it.
Reps sell the same few products everywhere
Suggestions for each outlet point the rep to the range and schemes that fit it.
Beyond tracking: turn each territory's goal into daily work

Recording what happened is the foundation. BeatRoute also uses that record to steer what each rep does next.
You set a goal for each territory, such as higher sales per outlet, more active outlets or wider coverage. BeatRoute's AI agents turn that goal into actions for each rep, and the KPIs above show whether it is working while the month is still open.
- Sales per outlet: the Order AI Agent suggests the range and the schemes each outlet should take, at the counter.
- Better visits: the Scheduling AI Agent points each rep's day at the outlets most likely to order, so more visits end in an order.
- Shelf: the VM Audit AI Agent reads shelf photos, so the range a rep sold actually shows on the shelf.
- New outlets: reps sign up a new outlet with a short onboarding workflow, so it places its first order sooner.
Results on the BeatRoute platform
These are results customers reached on the whole BeatRoute platform, across industries and regions.
Valvoline Cummins raised customer connect, the share of each rep's assigned customers they actually reach, from about a quarter to more than 70% on BeatRoute.
AAVA Brands in Nigeria grew field force productivity by 18–20% and store-level sell-outs by a quarter or more.
Perfetti Van Melle Indonesia tripled its outlet coverage with BeatRoute route optimization and sales force automation.
In pharma, Nurturemed Pharma increased the productivity of its medical reps by 20% on BeatRoute.
How to choose field sales management software
Judge each option on these points, roughly in this order:
- Fit with how you sell: does it handle distributors, outlets, beats and schemes, or only contacts and deals?
- Rep adoption: can a rep take an order in a few taps, offline, in their own language? If reps avoid the app, nothing else on this list matters.
- Manager view: can a manager see today's visits and KPIs without building a report?
- Configuration: can your own team change workflows, KPIs and schemes as goals change, without a ticket to the vendor each time?
- Integration: does it sync with your ERP and distributor systems? BeatRoute connects through its integration layer with 300+ connectors.
- Time to go live: ask for a realistic plan. Most BeatRoute teams go live in 21 days.
Who BeatRoute suits, and how to test it
BeatRoute suits consumer brands that sell through distributors and retailers and want field sales, distributor management and retail execution on one platform. If you have a small team selling to a handful of large accounts, a simpler CRM with a mobile app will do the job.
The safest test is a pilot: one territory, its reps and its distributor, for a few weeks. Compare visit compliance, productive calls and lines per call with a similar territory that kept working the old way. What is field sales management software?+
It is a mobile app for reps and a web dashboard for managers that runs the daily work of a field sales team. Reps plan their beat, check in at outlets, take orders and record payments and shelf checks. Managers set routes and targets and track KPIs such as visit compliance, productive calls and lines per call.
What is field sales management?+
Field sales management is the work of planning, running and measuring a team of reps who sell in person. It covers dividing outlets into territories and beats, setting visit frequency and targets, coaching reps, and reviewing the numbers that show whether each territory is growing.
What features should field sales management software have?+
At minimum: beat and route planning, GPS check-in, order taking with prices and schemes, collections, shelf photos and audits, offline mode, KPI dashboards and ERP integration. For brands that sell through distributors, it should also connect to the distributor's system so orders and stock match.
Which KPIs should a field sales manager track?+
Start with visit compliance, productive calls or strike rate, lines per call, average order value, active outlets and new outlets. Add collections and time in market once those are steady. Track them by rep and by territory, daily rather than monthly.
How is it different from a CRM?+
A CRM manages relationships and a pipeline of deals for a seller working leads, often from a desk. Field sales management software is built for a rep standing in an outlet, often offline, who needs to take an order and see the next action, and for a manager running a whole territory. Read more in SFA vs CRM.
Does it work offline in low-network areas?+
Yes. In BeatRoute, reps can mark attendance, log visits, take orders and capture photos with no connection, and everything syncs once they reconnect.
Does it integrate with my ERP or CRM?+
Yes. BeatRoute syncs master and transaction data with your ERP or data lake through its integration layer and 300+ prebuilt connectors, with credit checks at the point of order. It can run alongside an existing CRM.
How long does it take to go live?+
Most BeatRoute teams go live in 21 days. A pilot in one territory is a good way to start before a wider rollout.
